we are hiring Executive Assistant position.
EXECUTIVE ASSISTANT
Hours: 15-20 hours per week
Location: New Braunfels, TX
Compensation: $15-25/hour based on experience
THE POSITION OVERVIEW
The Executive Assistant’s main function is to provide high-level support to the CEO, Carol Wheeler. The goal of this position is to own and lead administrative tasks, both business-related and personal, enabling the CEO to focus on actions related to business development.
In short, your role is to continually find ways to save Carol time by coordinating her business and personal calendars, communicating with clients, vendors, and personal contacts and attacking the growing to-do list of a rapidly expanding business.
This is a part-time position with the potential for full-time and reports directly to the CEO.
THE OPPORTUNITY
We are seeking a calm yet agile, detail oriented Executive Assistant who is fueled by providing top-notch service, enjoys collaborating with others and who has experience supporting entrepreneurs who often pivot directions.

You must be available to work in person 3-5 days a week if needed. Some weeks are flexible and fewer in-person days will be required. You will also work virtually.
At the beginning you will be serving at a home office, while the Sammelplatz office building is under renovation. Upon completion you will have an office space near downtown.
WHAT WE DO
NopaLeadership provides leadership training and coaching to leaders and their teams both locally and across the country. Carol Wheeler, CEO, PhD, is a leadership coach, professional facilitator, keynote speaker, and educator.
Sammelplatz, LLC provides well-appointed office space in New Braunfels, TX including shared kitchen/break space, conference room, and outdoor area to create a community of independent professionals.
MAKE A DIFFERENCE
The ideal candidate for this position will have a high level of decorum and discretion that is second to none. You possess a “sixth sense” that allows you to be 2 steps ahead of the leader at all times. You will have experience serving entrepreneurs and have a good understanding of both technical and business vocabulary.
You are adept at working effectively with a wide variety of people inside and outside the organization, acting as an extension of your leader and both NopaLeadership and Sammelplatz.

A master of the business and personal calendar and can type 45 wpm.
Willing to course correct your leader when necessary to avoid misalignment of her goals and strategies.
Intrigued about continual improvement of systems and work processes.
Understanding of the needs of an entrepreneur who leads a full life, has family commitments, and who also embraces a holistic lifestyle.
Possess great communication skills and know-how that help facilitate respect, ease and flow with your leader and her clients.
Trustworthy and can be counted up to safeguard the confidentiality of not only our business but our clients as well.

THE ROLE
Manage/organize the CEO’s active business and personal calendars to maximize her efficiency in a manner that honors long-standing commitments while incorporating new demands as they arise.
Evaluate the priority of incoming correspondence and maintain electronic filing systems.
Provide assistance in the creation of communications to various recipients (vendors and suppliers, clients, community at large).
Assist in the preparation of multimedia presentation materials and collateral.
Complete various administrative duties as required, such a processing invoices, general inquiries, company mailings, shipments, and deliveries.
Provide support to execute marketing efforts, including online content creation and delivery, advertising for available rental space, and followup with all leads.
Research options and information related to decisions for both businesses, narrowing down the options and providing your research to Carol to assist her in decision-making.
Manage office space rentals, including rental contracts, meeting with potential renters, and managing booking for the shared conference spaces.
A TYPICAL DAY MAY LOOK LIKE
Check and process Carol’s business and personal email accounts and alert her of anything pressing.
Meet with Carol to review goals and plans for the week and longer term.
Create a spreadsheet to track potential rental clients.
Book dental appointments for the Wheeler family.
Coordinate with a contractor who is renovating a portion of the Sammelplatz office building.
Communicate with a workshop client to obtain participant contact information, and send them details of what to complete before the workshop.
Review workshop notes from Carol to update the slide deck and create handouts and other collateral for the workshop.
Process rental payments for office space, send out invoices for coaching clients.
Send follow-up emails/messages to coaching clients and make sure they are scheduled for upcoming appointments.
Pick up supplies needed for upcoming school event for one of Carol’s kids
